Role Overview

As an Office Manager, you will be responsible for creating a welcoming and well-organized office environment, managing the company's employee benefits programs, coordinating internal events, and ensuring the smooth day-to-day operation of the office while supporting key HR processes.

Location: Minsk
Format of work: full-time, office-based role with flexible start times

Responsibilities

Office Management

  • ensure the office is fully stocked with all necessary supplies, including water, snacks, dairy products, stationery, and other consumables;
  • coordinate office operations by handling employee requests related to office facilities and equipment (coffee machines, lighting, office equipment, etc.) and communicating with external vendors;
  • manage the office budget, including planning, expense tracking, and cost optimization;
  • oversee cleaning services and office plant maintenance providers;
  • manage incoming and outgoing mail, including receiving, sending, and distributing correspondence.

Employee Experience & Benefits

  • administer the company's employee benefits programs (private health insurance, sports memberships, English language courses, etc.), including program administration, timely payment control, employee consultation, and ongoing support;
  • organize team-building activities, employee celebrations, and recognition events by sourcing ideas and vendors, coordinating logistics, and arranging office decorations.

HR Activities

  • participate in HR processes by supporting employee preboarding, onboarding, and offboarding within the scope of responsibility.

What We Expect from You

Hard Skills:

Office Management

  • at least 1 year of experience in a similar role (Office Manager, HR Administrator, Administrative Assistant, or equivalent), preferably in an IT company or a fast-growing business;
  • experience managing office operations and coordinating with external service providers (cleaning, office maintenance, plant care, etc.);
  • experience managing office budgets, corporate cards, primary financial documentation, and expense reporting;

Employee Experience & Benefits

  • experience organizing corporate events, internal engagement activities, and employee recognition initiatives;
  • experience administering employee benefits programs (private health insurance, sports, learning & development, etc.);
  • experience contributing to the development and improvement of internal employee programs and processes;

HR Activities

  • experience supporting HR processes throughout the employee lifecycle, including preboarding, onboarding, and offboarding.

General

  • proficiency in Microsoft Office and Google Workspace, particularly Excel and Google Sheets;
  • English proficiency at Intermediate level (B1) or higher, with the ability to communicate with international vendors when required.

  • proactive mindset with a strong drive to improve processes and create a comfortable, efficient work environment;
  • strong communication and interpersonal skills, with the ability to build effective relationships with colleagues and external vendors;
  • high level of responsibility, independence, and attention to detail;
  • genuine passion for supporting employees and delivering a positive employee experience;
  • experience in automating administrative processes is an advantage.
